AI Use Policy
1. Why we have this policy
AI can help us work faster and serve customers better. This policy explains how to use it safely. A person is always responsible for the final work.
2. Approved tools
Use only company-approved AI tools and company accounts. Approved tools: [list your tools]. Ask [name or role] before trying a new one.
3. What you can use AI for
Drafting emails and documents, summarizing notes, brainstorming, organizing information, and other work approved by your manager.
4. What you should never enter
Unless the tool has been approved for that data, never enter passwords, financial account details, Social Security numbers, health information, confidential customer or employee records, or anything covered by a confidentiality agreement.
5. Check the work
AI can be wrong and can sound confident. Review everything for accuracy, tone, and fairness before you use or send it.
6. Decisions about people
Don't rely on AI alone for hiring, firing, pay, discipline, or other decisions that affect people. A person makes those decisions.
7. Be honest
Don't present AI output as verified fact unless you've checked it. Follow any customer or legal requirements for disclosing AI use.
8. Questions and problems
If you're unsure, ask [name or role]. If you think sensitive information was entered by mistake, report it right away.
9. Reviews
We review this policy every [6 or 12] months as tools and rules change. Last updated: [date].
